Primary responsibilities include but are not limited to:
  • Provides executive level organizational support to the C.O.O. and other members of the leadership team to support a positive and efficient work environment. This position is responsible for maintaining the calendar, electronic and written communication and appropriate correspondence, calendar, meetings, and meeting minutes, and travel expenses for members of the team.
  • Assists as requested with other duties necessary to support the various grant reporting, applications, and overall support of the strategic efforts of the organization.
  • Aids with funding opportunities; resources and collaborative partnerships through Federal, State, local public and private grants as requested.
  • Coordinate and oversee the planning and execution of special events or activities that may arise on an as needed basis.
  • Assists with all schedules and attempts regarding recruitment and any related needs for contracting or letters of intent correspondence as requested by the COO or CEO.
  • Assist the Operations team with accreditation activities, HRSA Operational Site Visit preparations activities, leadership meetings, operation team meetings and other duties as requested. The maintenance of meeting minutes as requested and the development of agenda items, tracking or record keeping based on the needs of the organization.
Qualifications:
  • Two or more years of college coursework equivalent to an AA or a combination of education, training and experience that would lead to the competencies required for successful performance of the position’s essential duties.
  • Maintains strict confidentiality at all times.
  • Willingness to gain knowledge in grant writing, non-profit program development.
  • Strong organizational, verbal, and written communication skills.
  • Ability to interface, speak publicly and/or communicate effectively with individuals and/or groups.
  • Ability to work under tight deadlines and flex schedule from time to time as requested; the ability to assist with the changing environment.
  • Sound computer skills to include excel, word, calendar invites, meeting minutes.
  • Mature, professional attitude and appearance; ability to work well with others.
  • Must be able to produce high volume of work, able to manage multiple priorities and possess the ability to communicate with outside contacts on behalf of PHI and he Chief Operating Officer.
